Treating a request as a confirmation
A submitted tour request is not a confirmed slot. The coordinator still has to check the calendar, confirm the date is available, and reach out to the visitor to nail down a time. Assuming the requested date is booked is what causes conflicts later.
Guest count as free text
Use a number field so the coordinator sees "2" or "4", not "my parents" or "a few people". Actual counts help with group sizing and logistics.
Preferred date left optional
Make the date required so the coordinator sees what the visitor actually wants instead of chasing them to ask. An office taking tour requests without knowing when people want to visit is planning blind.

This form asks for a date, not a time. A time is scheduled later between the visitor and the tour coordinator once the office confirms the date is available. Asking for a time here would create no-show mismatches if the office had to reschedule.
Can visitors bring guests on a campus tour?
Yes. The form asks for a guest count including the main visitor, so the coordinator knows how large a group to expect. That helps with tour logistics and how many student guides are needed.
