A paper sign-up sheet fails in predictable ways: two people write their names on the same line, the sheet gets photographed and lost, and nobody can tell how many places are really left. An online sheet gives each person a single choice of slot, records it with a timestamp, and stops taking answers when the total you set is reached. This form takes a name, an email, one time slot and one task. It does not hold a place for anyone or send reminders; it collects the sign-ups and keeps them in one list you can read or export.

A cap that counts people, not slots

The response cap is set once for the whole form, so it stops the sheet when the total is full rather than per time slot. If one slot must hold a fixed number and the others a different number, publish a separate form for each slot and cap each one; a single form cannot cap slots independently.

Every sign-up is a timestamped row

Each entry records the slot and task as the exact option chosen, with the time it arrived. That makes a first-come list a sort in the CSV export, not a judgement call made from a paper sheet with crossings-out.

How to build this form

  1. Add text and email fields for the name and contact address of the person signing up.
  2. Add a select field listing each time slot, one option per shift, with a final option for anyone who is flexible.
  3. Add a select field for the task, such as setup, registration desk, food or clean-up, with a no-preference option.
  4. Add an optional textarea for availability notes or anything the organiser needs to know before the event.
  5. In Settings, set a response cap equal to the total number of places across all slots, then share the link.

No cap, so the sheet fills past what you can staff

A sign-up link with no limit keeps accepting names after the last real place is gone, and you find out at the event. Set the cap to the total places before you share the link, and set a closing date too if the sign-up should stop before the event. Free forms stop at 100 responses whatever cap you set, so a larger sheet needs a paid plan.

Free-text slots that cannot be counted

If people type their preferred time into a text box, "Sat morning", "saturday 9" and "9am sat" are three different slots in the export. A select field with the exact shift times keeps every answer countable.

Sharing a link to a sheet that should be private

A volunteer list usually contains phone numbers and availability. Anyone with the link can see the form, so if the sign-up is for a closed group, add a password in Settings before sharing it. Password protection is a paid-plan feature, and it guards the form only, not the CSV file once you have downloaded it.

Questions about this form

How do I stop a sign-up sheet from being overbooked?

Set a response cap in Settings to the total number of places you have. Once that many responses arrive, the form stops accepting new ones. The cap applies to the whole form, so it limits the total rather than each time slot separately.

Can people sign up without an account?

Yes. Anyone with the link can complete the sheet without creating an account. The responses are stored in your dashboard and can be exported to CSV whenever you need the list.

Can I cap each time slot separately?

Not in one form. A response cap applies to the form as a whole. For slots with different capacities, publish one form per slot, each with its own cap, and share the matching link with that group.

How do I get the list of who signed up?

Open the responses screen to see every sign-up in order, or export all responses to CSV and sort by slot in a spreadsheet. Each row has the name, email, slot and task exactly as entered.

Can a sign-up be sent to Slack or another tool?

Yes. A webhook is free on every plan, and each new sign-up is POSTed to your endpoint as JSON as it arrives. Slack and Discord destinations are on paid plans. Every response also stays in your dashboard and CSV export, so the copy in Seagit is still the record.
