No project reference field, so responses land in one pile

A text field for the RFP reference number means every response tags itself with the bid it belongs to. Without it vendors have to put it in the approach or email, and responses to different RFPs get mixed in one pile and have to be sorted by hand.

Asking for proposal documents only, not structured fields

A PDF tells you what a vendor thinks; structured fields — price, timeline, approach — tell you whether the proposal fits your criteria. Ask for both so a spreadsheet comparison is quick. If you ask only for documents, every comparison is reading ten PDFs or opening ten emails.

Treating the form as a procurement system

This form collects vendor responses; it is not a system that evaluates them, enforces payment terms or manages a contract. It is intake. Evaluation, selection, and the rest are steps your team takes afterward in whatever system you use for procurement.

What should an RFP response form ask?

Vendor name, contact, email; RFP or project reference; proposed approach; relevant experience; estimated price; timeline; and an optional proposal document. That is usually the whole form. The responses export to CSV so your team can compare them in a spreadsheet.

Can I set a deadline for proposals?

Yes. In Settings, Advanced, set "Stop after this date" and the form closes at 23:59 UTC on that date, showing a closed message to vendors who arrive late. You can also set a response cap if a fixed number of bids is all you want to evaluate.

Do proposals get scored automatically?

No. This form collects responses and gets them in order; it does not score them or decide winners. Export to CSV and compare bids in a spreadsheet using whatever criteria your organization uses. Scoring is the step you take after collection.
