Alumni update form

An alumni update form is a records-management tool for a school. This form is not a marketing list or a social network — it collects what the school wants to know so it can send reunions and event invitations to the right people. Willingness to be contacted is a separate field so someone can update their address without opting in to event emails.

The form beside this text is live. Fill it in and submit it — it validates exactly as it would for a real respondent, and saves nothing.

Graduation year as a number field for sorting

A number field for graduation year lets you sort or filter alumni by decade without reading every entry. Free text produces "Class of '09", "2009", "09", and "early 2000s" — all of which need interpretation.

Contact preference as a separate question

Someone may update their email and employer but not want to join a mailing list, and that boundary is important. A separate radio question lets the form serve both purposes — records update and event invitation — independently.

No card required.

How to build this form

5 steps in the editor. Nothing here needs a paid plan.

  1. Add a text field for the alumnus's name and a number field for graduation year so you can organize by cohort.
  2. Add an email field and an optional phone field for contact information, so invitations reach people accurately.
  3. Add text fields for current employer and role, marked optional if not everyone wants to share career information.
  4. Add a textarea for optional updates — personal news the alumnus wants to share with other graduates, noted as optional.
  5. Add a radio group asking whether the person wants to be contacted for school events and reunions; separate this from the update itself so someone can update their address without joining a contact list.

What goes wrong with this form

Specific to a alumni update form, not general advice about forms.

Treating an update form as an opt-in for marketing

Submitting an alumni update form does not mean someone agreed to a mailing list. Add a clear, separate question — "May we contact you for reunion invitations?" — and respect the answer. Someone who updates an email to stay in touch with the school should not be surprised by newsletters they never requested.

Asking for LinkedIn or social media profiles

This form is for the school's records, not for you to build a social network. Email and phone are sufficient for contact. If you want to build an alumni community or find people on LinkedIn, that is a separate project after you have the basics — name, graduation year, contact info.

No graduation year field, so you cannot sort by cohort

Without graduation year you cannot identify who attended in the same era or organize alumni events by decade. A number field for graduation year is what lets you know "these 50 people all graduated in the 90s and can be invited to a 25-year reunion" without reading individual bios.

Questions about this form

Is this form the same as a class reunion organizer?

No — this is a records-update form. A reunion coordinator uses responses from this form to know who to invite and how to reach them. The form itself does not organize or schedule reunions; it is how your school keeps alumni contact information current.

Can I require alumni to list their current employer?

You can, but most alumni update forms leave it optional. Some graduates have private careers or do not want to share that information. Optional fields maximize response rates; make only graduation year and contact email required so people can update their address even if they skip the career question.

What if an alumnus unsubscribes from events later?

A form cannot manage opt-outs. If someone asks not to be contacted, that is a change to make in your own alumni records or mailing list tool, not in the form responses. Note their preference where you store it, and respect it when sending invitations.
