Using free text for the reason

A dropdown puts every return into your own categories from the first submission — free text produces endless variants you would otherwise have to categorise by hand.

Forgetting to ask for the order number

Without it you cannot look up the purchase or confirm the item — make it required, since the customer has their receipt in front of them.

Making the photo upload required

Most returns do not need a photo. Make it optional and reserve the requirement for cases where you genuinely need proof, such as a defect claim.

Does the form automatically process the refund?

No. The form collects the request — order number, item, reason and preference — and you review it, confirm it is covered by your policy, and process the refund or exchange yourself.

What if the customer does not include a photo of a damaged item?

The photo is optional, so some will skip it. If the reason is "defective" with no photo, you can reply asking for one, or approve based on your own return policy.
